How we handle personal information on this website and on the HireBox Testing Platform

EFFECTIVE DATE: JULY 20, 2026.

This Privacy Policy explains what personal information we collect, why we collect it, who we share it with, and what choices you have. It is incorporated into, and should be read together with, the HireBox Terms & Conditions of Use.

1. WHO WE ARE.

This website and the HireBox Testing Platform are operated by Hirebox International, an ExecLife Training & Coaching Group, LLC company, with a principal place of business at 1988 Freedom Dr., Clearwater, FL 33755, USA ("HireBox", "we", "us").

2. INFORMATION WE COLLECT.

2.1 Information you give us on this website. When you download an ebook, request a sample report, ask for a free analysis, subscribe to our newsletter, or contact us, we ask for some or all of the following: first name, last name, email address, company or organization name, phone number, and country. We only ask for what is needed to answer you or to deliver what you requested.

2.2 Information collected automatically. Our web host records standard technical data when a page is served — such as the requesting IP address, browser type, referring page, and date and time. This data is used to keep the site running and secure. We do not run advertising trackers or third-party analytics profiling on this website.

2.3 Assessment information on the Testing Platform. When a candidate or an employee completes an assessment on the HireBox Testing Platform, we process the identifying details entered (typically name, email, and the position applied for or held) together with the answers given and the resulting report. Section 5 explains the specific rules that apply to this category of information.

2.4 Information we do not want. Please do not send us medical records, government identification numbers, financial account details, or information about criminal history through the forms on this website. We do not need them and we do not ask for them.

3. WHY WE USE IT.

• To deliver the document, sample, or analysis you asked for.

• To answer your question and follow up on your request.

• To send you hiring-related information and offers, when you asked to receive them. Every such email carries an unsubscribe link that works immediately.

• To provide, support, and improve the HireBox Testing Platform and our training programs.

• To meet our legal, accounting, and record-keeping obligations.

We do not sell personal information, and we do not share it with third parties for their own marketing purposes.

4. WHO WE SHARE IT WITH.

We share personal information only with service providers who help us operate, and only to the extent they need it to do their job for us. They are bound to protect it and may not use it for their own purposes. These are:

• Our website and form host, which serves the pages and receives what you submit through a form.

• Our email marketing provider, which stores your subscription and sends the messages you asked to receive.

• Our customer relationship system, where we keep the record of our exchanges with you.

• Professional advisors (accountants, attorneys) where required.

We may also disclose information where we are legally required to do so, or where it is necessary to protect our rights, safety, or property.

5. CANDIDATE AND EMPLOYEE ASSESSMENT DATA.

5.1 Who decides. When an employer uses the HireBox Testing Platform to evaluate a candidate or an existing employee, that employer decides what is collected, why, and for how long. HireBox handles that information on the employer's instructions. If you completed an assessment and want to know how your information is used, retained, or deleted, contact the employer that invited you. We will assist that employer in responding.

5.2 Your rights as a test taker. As stated in our Terms & Conditions, no one can be compelled to complete an assessment for selection purposes, and anyone who completes one has the right to access the information it produced about them.

5.3 Limits on use. An assessment result is never a judgment and is never a stand-alone hiring decision. Employers using our platform agree to apply it only as one part of a complete selection or evaluation procedure, and to comply with all applicable privacy, data protection, and non-discrimination laws.

6. COOKIES.

This website uses cookies that are necessary for it to function — for example, to keep you signed in to the Testing Platform or to remember that a form was already submitted. We do not use advertising cookies on this website. You can block or delete cookies in your browser settings; if you do, parts of the Testing Platform may stop working.

7. HOW LONG WE KEEP IT.

We keep contact information for as long as you remain a client or a subscriber, and for as long afterwards as we need it to meet our legal and accounting obligations. If you unsubscribe or ask us to delete your information, we remove it from our active marketing and client records, keeping only what the law requires us to keep. Assessment data is retained according to the instructions of the employer who ordered the assessment.

8. YOUR RIGHTS.

Depending on where you live, you may have the right to ask us to: confirm what personal information we hold about you; give you a copy of it; correct it if it is wrong; delete it; restrict or object to how we use it; and stop sending you marketing. If you are in the European Union or the United Kingdom, these rights come from the General Data Protection Regulations (GDPR). If you are a California resident, comparable rights come from the California Consumer Privacy Act (CCPA/CPRA), including the right not to be treated differently for exercising them. We do not sell or share personal information as those terms are defined by California law.

To exercise any of these rights, submit the contact form on our Contact page with "Privacy request" as your subject. We will respond within the time frame required by applicable law, and we may need to verify your identity first. If you believe we have not handled your request properly, you may lodge a complaint with your local data protection authority.

9. INTERNATIONAL TRANSFERS.

HireBox is based in the United States, and our service providers may store or process information in the United States or in other countries. Where we transfer personal information out of the European Economic Area or the United Kingdom, we do so using the safeguards permitted by applicable law, such as the European Commission's Standard Contractual Clauses.

10. SECURITY.

We use reasonable technical and organizational measures to protect personal information against loss, misuse, and unauthorized access, including encrypted connections and access limited to the people who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. CHILDREN.

Our website and platform are intended for business use by adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, write to us and we will delete it.

12. CHANGES TO THIS POLICY.

We may update this Privacy Policy from time to time. The effective date at the top of this page shows when it was last changed. If we make a material change, we will make that clear on this page.
